Who This Policy Covers
Detailing Dynasty Co. handles personal information for detailing and ceramic coating enquiries, mobile and workshop bookings, customer service, and Dynasty Scents orders. Contact us at info@detailingdynasty.com.au about this policy.
Information We Collect
- Your name, company (if supplied), phone number, email, suburb, service address and billing or delivery address.
- Vehicle make, model, size and condition; selected services, add-ons, preferred dates and times; access, power and water information; customer requests and job notes.
- Vehicle photos you choose to upload for a quote or assessment. Photos can contain number plates, people, property and embedded location information. Please avoid including unnecessary personal information or photos of other people without permission.
- Enquiry, booking, quote, invoice, payment-status and order records; customer feedback, loyalty and gift-card records; and stock-notification requests.
- Technical information such as IP address, browser/device information, cookie identifiers, referral and campaign information, pages visited and interactions with the website.
Information comes from you, from someone arranging a service on your behalf, from our staff when managing your job, and from the website and service providers involved in your transaction. If required contact or job information is missing, we may be unable to quote, book or fulfil your request.
Why We Use It
- Assess vehicle condition and photos, prepare quotes, arrange appointments, carry out work and record job progress.
- Send booking confirmations, reminders, changes, cancellations, invoices, payment information, order updates and customer-service replies.
- Manage customer requests, complaints, warranty enquiries, loyalty benefits and gift cards; request feedback or a review after a completed job.
- Process and deliver shop orders and requested back-in-stock notifications.
- Maintain business and accounting records, protect the website from misuse, improve the customer experience and measure advertising results.
- Send promotional communications where you have opted in; contact us to withdraw that preference.
Submitting vehicle photos for an assessment does not itself give permission to publish them as marketing photos.
Payments and Service Providers
Staff and service providers receive information needed for their role. Providers used by the website or business integrations include:
- Website hosting, database and file storage services, plus email and SMS delivery providers (including ClickSend when enabled), to operate the site, store job information and send messages. Uploaded quote photos may also be attached to the enquiry email received by our team.
- Google Calendar for appointment management and Xero for accounting and invoices when those integrations are enabled.
- Stripe for online payments. We store transaction references and payment status, not full payment-card numbers or security codes.
- Shipping providers such as Australia Post for delivery and tracking of shop orders.
- The analytics and advertising providers described below, and professional advisers or authorities where necessary or legally required.
Some providers may process or store information outside Australia. Locations depend on the provider and account configuration; contact us for information about providers relevant to your enquiry or transaction. We do not sell customer contact lists.
Analytics, Advertising and Session Recording
The website has integrations for Google Analytics, Google Ads, Microsoft Clarity, Meta (Facebook/Instagram) and OpenAI Ads. Which requests run also depends on configuration, the page visited and browser settings.
- Google Analytics measures visits and website use when configured. Google Ads measures advertising and conversions, such as completed enquiries.
- Microsoft Clarity provides interaction heatmaps and session recordings to help understand website use. The site marks page content for masking, including enquiry forms; this does not prevent collection of technical information and interaction metadata.
- Meta and OpenAI advertising pixels measure visits and customer actions, including shopping activity and completed booking requests. Advertising providers may use cookies or identifiers to attribute actions to ads and support advertising audiences, depending on account settings.
- When Meta server-side conversion reporting is enabled, shop events may include product IDs, quantities, prices, order references, IP address, browser information and advertising cookie identifiers. A purchase event can include hashed email and phone details for matching. Hashing does not make this information anonymous.
- Our own shop analytics also records product and checkout activity using a browser session identifier. Browser storage supports features such as the shopping cart and avoiding duplicate conversion events.
Third-party browser analytics and advertising tags are excluded from admin, checkout, private order, booking-lookup and other private record pages. Pages with query parameters other than recognised advertising campaign parameters are also excluded. These exclusions do not disable payment processing, our own shop analytics or server-side purchase reporting.
Our custom enquiry and booking conversion events do not include the name, phone number, email, enquiry text or uploaded photos. Provider-side automatic collection settings are separate from these custom events.
You can manage cookies and site storage through your browser and advertising preferences through the relevant providers. Blocking cookies or trackers can affect measurement and some website features. Contact us if you prefer to enquire or arrange a booking directly.
Storage, Security and Retention
Enquiries, bookings, orders and job records are stored in business systems. Uploaded quote photos are held in private storage with staff-authenticated access and may also exist in enquiry email attachments. Access controls help protect these records, but no online service can guarantee absolute security.
Retention depends on the purpose of the record, ongoing jobs or warranty matters, accounting and other legal obligations, and the need to resolve disputes. This policy does not promise automatic deletion after a fixed period. Contact us to ask what is retained for your enquiry, booking or photos and to request deletion of information no longer needed. Some records may need to be retained; backups and service-provider copies can have separate retention periods.
Access, Corrections and Privacy Complaints
Email info@detailingdynasty.com.au to request access, correction or deletion, ask about tracking or raise a privacy complaint. Describe the issue and the relevant enquiry, booking or order; please do not email payment-card details. We may need to verify your identity before releasing or changing records.
We will review your request or complaint and respond using the contact details you provide, explaining any information we cannot supply or delete and why. If you are dissatisfied, you can ask the Office of the Australian Information Commissioner (OAIC) about available complaint options at oaic.gov.au. Whether particular Privacy Act obligations apply depends on the business and the circumstances.
Changes to This Policy
We may update this policy as our services and systems change. The date shown above identifies the latest published revision.
